PLANNING

  • Check vendor availability and set up meetings

  • Attend vendor meetings, as needed

  • Review vendor contracts

  • Secure hotel room rates and blocks for guests as needed

  • Monthly consultations overseeing planning progress as needed

  • On-going communication via email and phone

  • Vendor payment schedule reminders

  • Transportation plan for bridal/event party, family and guests

  • Send vendors itinerary for wedding/event day

  • Attend final meetings with vendors, as necessary

  • Create outline for ceremony processional and recessional as needed

  • Assist with seating arrangements

  • Coordinate, confirm and review vendor deliveries,

  • Set-up and pick-up arrangements

  • Conduct final walk-through with wedding venues

 

EXECUTION

  • Coordinate wedding/event rehearsal as needed

  • Confirm all vendor responsibilities two weeks prior to the wedding

  • Reconfirm all vendor responsibilities one day prior to the wedding

  • Prepare ceremony itinerary for vendors and wedding/event party

  • Prepare reception itinerary for vendors

  • The following applies for weddings but also for all kinds of events

  • Transport items, as necessary, to ceremony and reception site:

  • portraits, cake utensils, favors, place cards, printed menus, programs

  • Arrive (at least) four hours before the ceremony

  • Stay until the end of the reception

  • Assist bride and bridal party at ceremony site

  • Provide emergency kit

  • Hand out bouquets and pin on boutonnieres

  • Arrange guest book table, cake table, programs, place cards and favors

  • Check room set-up according to the venue Banquet Event Order

  • Distribute final payments and gratuities to vendors

  • Supervise vendors during set up

  • Supervise timeline of events with band or DJ

  • Prepare guests for bridal couple send off

  • Coordinate loading of gifts,

  • Boxing of left over food/cake/centerpieces and

  • Collecting all of client’s valuable belongings

  • Guide bridal couple graciously through the day
